It’s Go Time: Final Wedding Details That Make the Day Flow Flawlessly

By the time July rolls around, our inboxes at True North Weddings start filling up with one particular kind of email: “What else do I need to know before the big day?”

You’ve done the dreaming, the booking, and the planning. Now it’s time to finalize the details—those behind-the-scenes decisions that make your wedding feel effortless and magical.

Here’s what we’re helping our couples button up this month:

1. Finalize Your Wedding Day Timeline

By Janine Leigh Photography

The timeline is your wedding day’s GPS—and we’re the ones making sure it’s headed in the right direction (aka your true north ❤️)

We not making a list that pushes you through the day. We are building a flow that considers everything from golden hour photos to vendor arrival times. We include buffer zones (because, yes, uncle Joe will be late to family photos), and we adjust for things like travel time, ceremony traditions, or private moments.

Pro Tip:

Your timeline isn’t just for you. It needs to be shared with everyone—vendors, wedding party, and even family members who need to be in certain places at certain times. We handle this for you, but if you're planning solo, make sure it gets in everyone’s hands at least a week before the wedding.

2. Confirm Your Floor Plan + Layout

We can’t overstate this: Your layout affects everything.

From the flow of your dinner service to the energy on the dance floor, your seating plan, table arrangements, and even where the DJ is located can make or break the vibe.

We love working directly with your venue and rental teams to review the final guest count, make space for wheelchairs or strollers, adjust sweetheart tables, and make sure the fire marshal wouldn’t give us side-eye.

Don’t forget:

  • Power sources for DJs and lighting

  • Where your desserts will go

  • A clear path for your grand entrance

3. Hold Your Final Vendor Call

This is where the magic gets locked in.

Your planner will run through load-in times, emergency contacts, meal counts, and any last-minute details like where the officiant should stand or who’s cueing the music. We also make sure your florist knows when to deliver personal flowers, and your photographer knows which flat lay items to prioritize.

Not working with a planner?
Set up a 15-minute check-in with each vendor 1–2 weeks before the wedding. It’s worth its weight in gold.

4. Organize Staff + Support Team

This includes more than just your vendors. Think:

  • Who’s bringing your overnight bag to the hotel?

  • Who’s in charge of wrangling your family for photos?

  • Who’s delivering tips and final payments?

  • Who knows how to bustle your dress?

If you’re working with us, your lead planner will already have a full Run of Show and team assignments. If not, we recommend making a “day-of delegation” list and sending it to your inner circle in advance.

5. Think Through the Tiny (But Vital) Details

Angela Jo Photography

These are the things we promise you’ll forget if they’re not on your list:

  • A lighter for your unity candle

  • Your signature drinks written out for the bartender

  • Cake cutting utensils

  • Who’s taking the leftover desserts home (and food if you are having it bulk catered and dropped off)

  • A copy of your vows (printed!)

  • A change of shoes or comfy clothes for the end of the night

Final Words From the Planning Team

Here’s what we want you to remember: You don’t have to do it all alone. Whether you’re working with our team or flying solo, the final weeks before your wedding are where the right guidance makes all the difference.

Let’s dot the i’s, cross the t’s, and give you the peace of mind to actually enjoy what you’ve planned.

And if you’re feeling overwhelmed by the final checklist, you can book in a Compass Consult—we’ll help you breathe easier.
